In healthcare logistics, specimen integrity is essential to accurate diagnostics, timely treatment, and patient safety. From blood and urine samples to biopsies and other clinical materials, even small temperature deviations during transport can compromise results and delay care.
Healthcare organizations need dependable safeguards that maintain proper conditions from the moment a specimen is collected until it reaches the laboratory. MedSpeed provides proven cold chain solutions to fit unique needs when it comes to temperature maintenance and temperature control.
Temperature maintenance: Preserving the right conditions throughout transport
MedSpeed uses purpose-built equipment, validated packaging, and proven operational processes, to preserve specimen integrity across the entire delivery journey. Here’s how it works:
- Customers place each specimen into a secure primary receptacle and seal it within a watertight, biohazard-labeled bag. The MedSpeed logistics service representative (LSR), scans it to document its temperature status and then places it inside a specially designed transport bag with separate compartments for different temperature requirements (room temperature, refrigerated, and frozen). This design keeps specimens organized by temperature state and protected as they move between collection sites and vehicles.
- All specimens are transported in MedSpeed vehicles to ensure reliability, security, and consistency. Within the vehicle, specimens are stored in master coolers designed and validated to support desired temperature conditions throughout transit. These company-owned vehicles are professionally maintained to ensure they are safe, reliable, and equipped with functional air conditioning to maintain proper temperatures. Local MedSpeed hubs maintain backup vehicles and equipment to quickly address unexpected disruptions.
Advanced portable temperature management
MedSpeed created a customized, portable tote to transport items at both room temperature and refrigerated conditions. It is constructed with over an inch of polyurethane (PUR), providing excellent thermal insulation to maintain stable internal temperatures. Purpose-built to meet specific operational needs and customer expectations, the cooler supports safe transport while maintaining temperatures within acceptable ranges for up to 12 hours.
The interior is thoughtfully designed with compartments for cool packs, enabling consistent temperature distribution from top to bottom while helping mitigate adverse impacts such as freezing shocks and extreme weather conditions.
To support temperature monitoring requirements, the cooler also includes a dedicated holder for a temperature data logger. In addition, MedSpeed follows a standardized procedure for conditioning cool packs to maximize their cooling performance, ensuring reliable and repeatable results across transport scenarios.
Temperature control: Real-time monitoring and rapid response
For organizations that require greater temperature assurance, MedSpeed provides active monitoring aligned with the National Institute of Standards and Technology (NIST) as well as stringent operational response to ensure specimens remain within acceptable temperature ranges during transit. The process is as follows:
- NIST-calibrated temperature data loggers are placed within transport containers to continuously track environmental conditions.
- If temperatures approach unacceptable thresholds, the device triggers an audible alert, prompting immediate action to restore proper conditions. An additional cooler stocked with refrigerants is always available to support rapid corrective action when needed.
- Upon delivery, temperature data can be downloaded into the customer’s system. MedSpeed’s operations team also reviews this data to identify trends and proactively address potential risks. Any corrective actions that need to be taken are documented to ensure accountability and continuous improvement.
- For shipments requiring additional environmental control, MedSpeed has the capability to operate refrigerated vehicles equipped with temperature-controlled units. Before each route begins, the LSR confirms that the vehicle has reached the appropriate settings. Temperature and humidity levels are controlled using onboard digital thermometers and recorded in digital temperature and humidity loggers to help ensure sensitive materials remain within acceptable conditions.
Training, quality oversight, and transparency
All temperature maintenance and temperature control processes are supported by rigorous training, custom technology, and comprehensive quality oversight.
- Employees complete extensive training on temperature handling, monitoring procedures, and specimen transport protocols.
- Employees use handheld scanners with custom-built technology to verify each vehicle has the correct equipment and refrigerants and that every specimen is handled according to its temperature requirements.
- MedSpeed’s quality team conducts formal temperature validation studies. Temperature loggers are placed within transport equipment to monitor conditions along randomly selected routes. The resulting data is analyzed and reviewed to confirm that equipment and processes maintain appropriate environmental conditions. Validation reports are shared with customers upon request to support regulatory compliance and quality assurance.
- MedSpeed’s sterile processing department (SPD) standard operating procedures are fully aligned with the latest industry guidance, including AAMI TIR 109:2025, “External Transport of Reusable Medical Devices for Processing,” ensuring compliant handling and transport of both sterile and contaminated medical instruments.
- Visibility is another critical component of specimen integrity. MedSpeed provides real-time shipment tracking and temperature state recording through a secure online portal, allowing customers to monitor transport progress and maintain confidence in the process.
